Whenever possible consider using a computer and shareable folders or files to help organize your information and make it accessible to other heir property owners you are working with. Use spreadhseets when appropriate for keeping any financial records or other information that is suitable for sorting and other tasks made easy when data is in a spreadsheet format. If you are unfamiliar with using computers for these tasks, perhaps there is another person in your family or a friend that can assist you. Consider having a back up of your files to ensure data is not lost inadvertantly.

Note that while you may have documentation to show that you are an heir to a specific property, there may be others who may not aggree. Keep your personal safety in mind before and during any visits to land you are not familiar with and have not visited for a long while. Remember that some people may not welcome you taking photos of their house, property, and vehicles.
